How to Schedule Jobs and Keep the Workshop Flowing
Balance capacity, priorities, and customer expectations. Practical scheduling for busy UK workshops.
A full diary doesn’t always mean a smooth workshop. If jobs overrun, parts are missing, or customers turn up to chaos, you lose time and trust. Good garage management software gives you one place for the diary, job status, and reminders—see our provider tools for what to look for. This guide covers how to schedule jobs so capacity, priorities, and customer expectations line up—and how to keep the workshop flowing when things slip.
Know your capacity
1. Block time by job type, not just "first come"
Mix quick jobs (MOT, oil change) with longer ones (clutch, cambelt) so you’re not left with huge gaps or impossible stacks. Some garages reserve morning slots for diagnostics or complex jobs and afternoons for services and MOTs. Others alternate. Find a pattern that suits your team and vehicle flow—and stick to it so everyone knows what to expect.
2. Confirm parts and dependencies before the day
A job that can’t start because parts haven’t arrived wastes a slot and annoys the customer. Order parts as soon as the job is booked; chase if they’re late. If something’s on back order, move the job or offer an alternative date. See how to manage parts ordering and stock for more.
3. Build in buffer for the unpredictable
Jobs overrun, vehicles arrive late, and "quick checks" turn into big jobs. Don’t pack the diary to the minute. Leave 10–15% buffer or a flexible slot (e.g. "slot for overflow or walk-ins") so you can absorb delays without a cascade of late finishes. Customers would rather be seen on time than be given an optimistic slot and then kept waiting.
4. Communicate early when things slip
If a job is running late or you’ve found extra work, tell the customer as soon as you know. "We’re running about an hour behind—we’ll ring when the car’s ready" or "We’ve found X; we need to do Y; it’ll be ready by Z." Avoid leaving them in the dark. See how to reduce no-shows and cancellations for reminder and confirmation habits that support a calmer diary. AutoChain maintenance reminders help you keep customers informed and the diary predictable.
